Illustrative use cases
See the workflow before choosing the technology.
- Examples
- Exactly three founder-approved workflow patterns
- Offer
- One Assessment-to-Implementation path
- Sector position
- Illustrative, not validated
- What this cannot conclude
- A customer result, benchmark, market position, promised saving or sector specialism.
An Assessment measures how a workflow runs today. It does not certify compliance, predict outcomes or prove return at scale—accountability for every decision stays with the organisation's named people.
Pattern / 01
Review and sign off
A contract or document review workflow can involve intake, comparison with an approved playbook, identification of non-standard points, escalation and professional sign-off.
- Setting
- Legal and professional services
- Workflow today
- Documents move from first-pass review to mark-up, escalation and final advice. The useful boundary is not simply whether text can be summarised; it is which deviations require professional judgement, which source materials are authorised, and who remains accountable for the final work.
- Where AI could assist
- AI could assist with clause extraction, comparison against an approved playbook, first-draft summaries and routing unusual provisions for senior attention. Representative documents, confidentiality controls and unsupported-answer behaviour would need to be agreed before any live use.
- Human decision
- A qualified and accountable professional remains responsible for legal judgement, advice, verification and sign-off. The SRA states that regulated individuals remain accountable for work and outputs regardless of how that work was prepared.
- Assessment would measure
- A Workflow Assessment would establish the present review path, cycle time, rework, escalation points, evidence quality and the proportion of outputs requiring material correction. The purpose is to create a baseline and acceptance test, not to assume an improvement.

- What this cannot conclude
- This example cannot establish suitability for a firm, legal correctness, regulatory compliance, confidentiality safeguards, return on investment or a customer outcome. It is not legal advice.
Pattern / 02
Resolve and dispose
A non-conformance workflow can move from detection and containment through investigation, disposition, corrective action, effectiveness review and closure.
- Setting
- Manufacturing and quality operations
- Workflow today
- The record must connect the observed non-conformance with containment, investigation, authorised disposition and any corrective action. Similar events may sit in separate records, while incomplete fields or unclear ownership can make review and closure difficult.
- Where AI could assist
- AI could assist with drafting a structured record from approved evidence, checking required fields, finding similar prior events and preparing possible categories for human review. It would not be authorised to approve a concession, make a safety decision or close corrective action.
- Human decision
- Named quality and operational authorities retain disposition, concession, safety and effectiveness decisions. ISO 9001 clauses 8.7 and 10.2 provide the quality-management context; HSE guidance makes competence and workplace-specific risk central to safe responsibility.
- Assessment would measure
- A Workflow Assessment would map the current record path, documentation effort, cycle time, recurrence signals, backlog, rework and evidence completeness. It would also identify where a competent person or authorised quality owner must intervene.

- What this cannot conclude
- This example cannot certify conformity with ISO 9001, replace an accredited audit, make a safety determination, establish competence or prove an operating benefit. It is not quality, certification or health-and-safety advice.
Pattern / 03
Draft and submit
A tender response workflow can involve discovery, a bid decision, requirement mapping, evidence collection, drafting, pricing, declarations, review and submission before a fixed deadline.
- Setting
- Public procurement and tender responses
- Workflow today
- Teams must understand the tender documents, map requirements to accountable owners, assemble approved evidence, prepare quality responses and complete supplier information. Conditions of participation, exclusions, award criteria and submission rules create consequential checkpoints.
- Where AI could assist
- AI could assist with extracting a draft requirements matrix, checking coverage against the source pack and preparing first-draft text from an approved evidence library. Every extracted requirement would still need source checking, ownership and controlled revision.
- Human decision
- People remain responsible for the bid decision, declarations, evidence accuracy, pricing, commitments and final submission. The Procurement Act 2023 and current GOV.UK supplier guidance provide the statutory and operating context; CortexLabs does not interpret those duties for a bidder.
- Assessment would measure
- A Workflow Assessment would establish the current response path, requirement-coverage process, rework, approval points, late-discovered gaps and evidence provenance. It would define what a coverage check can and cannot accept before implementation.

- What this cannot conclude
- This example cannot predict an award, certify a response, interpret procurement law, guarantee requirement coverage or establish return on investment. It is not procurement or legal advice.
The common method
Different settings. The same evidence discipline.
Observe the workflow, establish the baseline and define the human decision boundary.
Build only the capability supported by the decision record and test it against agreed cases.
Transfer operation, evidence, limitations and the route to change or stop.
The sources on this page provide workflow and accountability context. They do not endorse CortexLabs. Regulatory and standards material can change; each source carries its review date. A fourth example requires separate founder approval and the same primary-source standard.
